In this section we'll learn look at some specific terminology which you may hear from time to time.

YOURFunction & Lotus Notes terminology

1.

Replication

Notes lets you keep multiple copies of a single file or database, called replicas, on multiple servers or workstations. This lets users on various networks in a variety of locations share the same information.

Replication is the process of sharing changes between replicas. When you replicate, Notes updates the replicas, copying changes from one to the other. Notes eventually makes all replicas identical.

Replication is controlled by the Notes Client software, can occur at any interval and will only occur when the application is open.

Depending upon the need to distribute the information to other users, the replication schedule should be set to meet the particular needs of the venue - Each individual user can set the replication schedule to suit their own needs and the needs of the business.

If YOURFunction is operational on only one machine, the replication can occur once a day if asynchronous information distribution is deemed adequate. If the application is present on more than one machine, and each editing user is making changes
to the documents, the replication interval should be tighter.

Note: Notes replicates in the background so you can do other work while Notes replicates

Only document changes are replicated at any replication time. Typical data rates after changes to about 10 function event orders would see about
200 KB being replicated to the server. Replication usually takes about oneminute to update 10 documents and associated documents over a 56K modem line.

Replication can occur over any connection, however the bandwidth available determines the amount of time required to replicate. In the previous example,
10 documents would be replicated in about 25 seconds over a typical 64K ISDN or ADSL connection.

Application Service Provision

Application service providers offer customers a powerful avenue to access software by eliminating the customer’s hardware, integration, Support, and maintenance costs. It offers:

3.

Function Sheet

A Function Sheet is the document which outlines the requirements of an upcoming function or event. It is both an internal and external document which sets out the instructions for the client to confirm and the venue to carry out.

The detail in a function sheet includes menu and beverage requirements, audio visual requirements and billing and payment instructions.
