In this section we'll create the Customer File for the Optel Seminar.
Create your first Enquiry...
Step 1.
Launch Enquiry Form
You can launch the Enquiry Form from the Calendar Frame in the Home page or from the Action Bar
To launch the Enquiry Form from the Calendar frame Single Click the 'Create New Customer Booking' button.
To Launch the Enquiry Form from the Customer Database, Single-click the Customer Database button and single-click the 'Commence New Enquiry' button in the action bar of the view
Step 2.
Select existing customer
This brings up the 'Existing Customer?' dialog:
If it is not, Click No. If it is an existing customer or you are not sure, click Yes and the Select Customer Dialog will appear (see below). Quick search a company name by typing the name of the company. Alternatively, click on the 'Contact' header and it will sort the contact name by Alpha.
To select the customer single click on the Customer name and click OK. Alternatively Double Click on the Customer Name. This will open the Customer file.
Step 3.
Create Primary Booking
Single click on the
Booking
Tab. Record the booking details of the Primary booking. The Primary booking is the main resource to be used and the beginning and end date of the function.
Step 4.
Select a venue and find an available Resource
YOURFunction will automatically default to the last venue selected for an existing customer. If it is a new customer or you wish to select a different venue select the desired venue from the dialog.
There is three options available to select a suitable resource.
1. Check Conflict - Select a resource and then allow the system to confirm its availability
2. What's Left? - Allow YOURFunction to advise of available resources
3. What's Taken? - Allow YOURFunction to advise of resources currently booked
To select a resource Single Click the resource you require from the dialog and click Check Conflict.
If you are working in a multi-site installation, the dialog will allow you to select any resource at any venue.
If there is a conflict you will be informed by the booking conflict dialog.
To see the details of this conflict or to see what other resources are already booked single click What's Taken?.
You will be advised of the booking details and the status of each booking at all venues.
If you want to see what resources are still available, single click What's Left.
The dialog will display the resources currently available in the venue selected.
Step 5.
Create a document
The final step in the Customer file is to select the type of document to be generated.
You can create a Quotation, a Function Sheet which will automatically create the booking, or simply create a booking for a resource.
To any of these actions, single click on the appropriate button. For this tutorial, Single click Create Booking Quotation.
